Casefleet's 2024 Pricing Changes Explained

At Casefleet, we are big believers in transparent and straightforward pricing. From our launch in 2016 up to now, we've posted our prices on our pricing page for everyone to see, and calculating your invoice has generally been as simple as multiplying your count of users by a nice, round figure. However, as our users' needs have evolved, it has become essential to adjust our pricing to sustain the high-quality services that you expect and deserve.

Here, we explain the changes to our pricing structure taking effect December 2024, detailing both the reasons behind these changes and how they benefit you, our valued users.

Understanding the cost behind our services

Before describing Casefleet's new pricing model, we'll first outline the costs involved in delivering our services:

  • Storage Costs: Each document uploaded to Casefleet is stored securely on AWS S3. Moreover, during processing, our systems create various "artifacts" for each document to help power full-text search and our document viewer, resulting in a total storage "footprint" about ten times the size of the original document. As our user base and total usage grows, the need for storage continually grows.
  • Processing Costs: Our document processing also requires substantial computing resources and third-party services like Google Vision for OCR and Google Speech for transcription. These services ensure your documents are readily searchable and viewable but come at a significant cost, particularly as the volume documents processed increases.

Our new pricing model: What has changed?

1. Monthly Hosting Fee

To accommodate our expanding storage requirements, we have introduced a $10 per gigabyte monthly hosting fee for new accounts, providing a transparent and predictable pricing structure.

Existing customers will not immediately encounter this new hosting fee for the storage already in use. Instead, our team will collaborate with each account to determine an appropriate time to begin storage-based billing, which will only apply to any increase in storage size after the policy takes effect. This approach ensures a smooth transition and acknowledges the loyalty of our current users, allowing them to adjust to the new terms without immediate impact.

2. Usage-Based Billing for OCR and Transcription

To further tailor our pricing to user needs, we have implemented usage-based billing for OCR and media file transcription. This change includes a generous free quota: 3,000 OCR pages and 3 hours of transcription per month per billed user at the account level.

Each account under the new billing model can customize their settings to determine what happens once the free monthly allotments of OCR and transcription have been reached. If you opt into continued processing, we’ll continue automatic OCR and transcription for your documents billed at $1 per 100 pages requiring OCR and $0.17 per minute of media file transcription. Alternatively, if you do not opt-in, Casefleet will continue processing your documents but will not perform OCR or text transcription once the limit has been reached.

Transitioning to the New Model

For our existing users, these changes will roll out thoughtfully, with current contracts honored until renewal. We are committed to working closely with you to integrate these new terms in a way that respects your ongoing projects and budgetary expectations.

While all existing accounts will continue under the legacy billing model, we have added resource usage pages for all accounts to ensure transparency around your account's resource usage. Users with administrator privileges will now see two new pages in Account Settings for viewing account-wide resource usage or to generate a report breaking down usage for each case.
